Sami Meszaros, Founder & Principal

Reno, Nevada — an operational leader with 7+ years building administrative, compliance, and operational infrastructure for multi-site, highly regulated organizations.

Why I Do This Work

I don't wait to be handed a system. I build the one that should already exist.

I've noticed operational gaps my entire career. My current role is where that instinct became a discipline.

When I stepped into my current role at a nationally accredited air medical transport organization, there was no onboarding process. I was put at a desk, asked, “Do you have any questions?” and left to figure out the rest. So I did. I met individually with every team member to understand what they actually needed from the role, read through 20 years of documentation left behind by previous administrative staff, and called vendors directly to learn how our processes actually worked — not how they were supposed to work on paper.

Piece by piece, I built a real understanding of the organization, then built real systems on top of it: a Quality Management program that didn't exist before, a compliance manual that consolidated decades of fragmented policy, and processes the next person in my seat won't have to reconstruct from scratch the way I did.

That experience is the whole business, in miniature. I don't wait for someone to hand me a system. I go find out how things actually work, and I build the structure that should have existed all along — not just administrative support, but the instinct to spot what's missing and the persistence to build it right, even with no map handed to me.

Experience

A track record of building infrastructure that didn't exist yet.

My background spans operational leadership across highly regulated, multi-site organizations — from running the administrative backbone of an accredited critical care transport operation, to serving as the primary HR point of contact for a multi-site corporate operation, to building an entire operations program from the ground up at a campus retail business. Every one of those roles had the same throughline: walk in, find the gap, build the system that should have already existed.

Building Systems From Scratch

  • Built a Quality Management program from nothing — four discipline-specific committees and one centralized review process where there had been no structure at all
  • Built an entire collections program from scratch, turning payment collection from inconsistent guesswork into a repeatable process
  • Replaced a recruiting process that took candidates through several disconnected calls just to land an interview with one streamlined pipeline under a single point of contact

Compliance & Documentation

  • Authored a 40+ page compliance manual, consolidating decades of scattered policy into a single audit-ready resource aligned with federal and state regulatory requirements
  • Own a 70+ document policy library and have personally rewritten 50+ of those policies so they hold up to accreditation review, not just exist on paper
  • Led accreditation reaccreditation documentation start to finish, including formal program filings and site survey preparation
  • Kept personnel records audit-ready and confidential across HRIS systems

Reporting & Oversight

  • Designed and launched a KPI performance dashboard, so leadership could see performance at a glance instead of digging through spreadsheets
  • Built a complaints and feedback tracking system, routing issues that used to disappear into inboxes straight to leadership through one triage point
  • Owned departmental budget monitoring, giving leadership real-time financial visibility instead of finding out about variances after the fact

People & Vendor Coordination

  • Managed calendars and confidential correspondence for multiple senior leaders at once, exercising judgment and discretion on highly sensitive matters daily
  • Reviewed and negotiated organizational contracts, protecting the organization's interests before ink hit paper
  • Ran vendor logistics, procurement, and payroll coordination across multiple locations
  • Led hiring, onboarding, coaching, and performance management across multiple hiring cycles
Specialties

What I bring to every engagement.

From scratch, by design

Building administrative infrastructure from zero, for organizations that have never had formal systems in place. Undocumented, tribal-knowledge processes that exist only in one person's head are exactly what I'm built to untangle.

Compliance & policy depth

Audit-ready policy libraries and review cadences that hold up under real scrutiny — drawn from hands-on CAMTS accreditation experience, not theoretical familiarity.

Built to hand off

Every system I build is designed so your organization can eventually hire and onboard a full-time employee into a role that's already set up to succeed — or so you can keep me on as ongoing support. Either way, you're never locked in.

Works within your systems

Comfortable working across whatever platforms an organization already has in place — HRIS, expense tracking and approval tools, safety and risk management systems, invoicing and billing platforms — and building new ones when they don't exist yet, including using AI-powered tools to build and streamline systems faster.

Mission

To build the administrative backbone growing organizations have never had.

And to modernize the systems that haven't kept pace — so leaders can focus on their core work instead of operational chaos.
